Controls the behavior of your virtual classrooms, recording automation, scheduling logic, and post-session workflows.
1. Recording Settings
- Automatic Recording — when enabled, all sessions start recording immediately. You can allow or prevent tutors from manually stopping recording.
- Sharing Automation — automatically shares a recording link within the course portal once the session ends.
- View Options — choose between "Gallery View" or the standard "Active Speaker" view for saved recordings.
2. Session Management
- Waiting Room — applies to Zoom sessions.
- Adhoc Sessions — allows instructors to start sessions even if not scheduled.
- Session start buffer — how many minutes before the session start time a tutor can actually start the session.
- Keep original session host — ON: the scheduled instructor remains host even if a different admin or instructor starts the session. OFF: whoever starts it becomes host. Also affects analytics and instructor payouts.
- Cancellation Rules — toggle whether students can cancel their own sessions.
3. Credit Settings
Manages the "currency" of your institute if you use a prepaid credit system.
- Credits for Group course — enables deduction of credits when students attend group sessions.
- Session credits history edit permission — who can change credits.
- How should credits be deducted: Automatically on Scheduling — deducted as soon as the session is scheduled; prevents scheduling more sessions than a student has paid for. Automatically at Session time — deducted immediately after the session's scheduled end time. Manually — deducted by teacher or admin by filling the post-session feedback form.
- Credit deduction for "Missed" Session — whether credits are deducted even if an instructor doesn't start the session. Irrelevant if Manually is selected above.
- Calculation Rule — Session Count (1 flat credit per class regardless of length) or Duration Based (pro-rated by length, e.g. 1 credit/hour, 1.5 credits/90 min). Under Duration Based, you set Credits per hour (the rate for a 60-minute session). If Credits per hour = 1: a 45-minute session deducts 0.75 credits, a 30-minute session deducts 0.5 credits. To make a 30-minute session deduct a full 1 credit, set Credits per hour = 2 (a 60-minute session then deducts 2 credits). Duration-based deduction is calculated strictly on the scheduled duration, not the actual time spent on the call.
4. Scheduling Settings
- Prevent scheduling conflicts — blocks anyone from scheduling outside a tutor's working hours, or at a time that tutor already has a session.
- Show only scheduling timings to students — past sessions only: if scheduled 4–5pm but actually ran 4:05–4:45, students still see 4–5pm.
- Session not started — sets how many minutes past the scheduled start time an admin alert fires if a live session hasn't been started.
- Minimum notice for session booking — applies when students book sessions with tutors.
- Minimum notice for cancellation — your institute's cancellation policy for student/client-initiated cancellations.
- Buffer time between session bookings — minimum gap required between two back-to-back student-booked sessions. Doesn't apply to events synced from Google Calendar.
- Restrict bookings to adjacent slots — e.g. a 9–10am booking means only the 8–9am and 10–11am slots show as available, keeping a tutor's sessions close together.
- Booking time slot intervals — how the calendar is shown to the booking student. 30-minute steps → 9:00, 9:30, 10:00; 15-minute steps → 9:00, 9:15, 9:30, 9:45...
- Limit future bookings — caps how far in the future students can book sessions.
5. Post-Session Feedback
- Instructor Forms — automatically requests a session report from the tutor after class ends.
- Student Forms — gathers feedback from the student about their learning experience.
- Visibility Controls — define who can see the feedback (e.g. "Admins Only").
6. In-Person & Providers
- In-Person Sessions — schedule physical classes alongside online ones; save specific office or classroom locations for easy selection.
- In-Person Sessions Locations — saved locations give you a location-based calendar when scheduling an in-person session, so you always know if a room is free.
7. Providers
- Session Provider — connects your preferred platform (Zoom by default, Lessonspace, or Pencil Spaces) for virtual meeting generation.
